Automated Solutions at the New Viljandi Hospital Complex

Viljandi’s new Hospital and Health Centre opened in the summer of 2025, bringing healthcare and social services together in one modern environment. With nearly 500 employees and a steady daily flow of patients, efficient workflows play a key role in the hospital’s operations. To support this, Hansab implemented two smart solutions: the Cleveron parcel locker and the Qmatic Orchestra queue management system.
Cleveron Locker Supporting In-House Logistics
Every day, the hospital handles a wide range of documents and deliveries that need to reach the right people quickly and securely. Instead of relying on time-consuming handovers, staff and couriers can now use the Cleveron locker for both internal and external deliveries.
Items can be dropped off whenever it is convenient, and recipients collect them at a time that suits them best. Secure access codes ensure safe storage, while automatic notifications inform recipients as soon as their delivery arrives. This flexible system helps reduce delays and makes internal logistics much faster and more reliable.
Qmatic Orchestra Streamlining the Patient Journey
Ensuring that patients move through the hospital smoothly and without unnecessary waiting is a key priority. The Qmatic Orchestra queue management system supports patients throughout their visit, from registration to the consultation room.
Upon arrival, patients receive a queue number at reception, which is linked to their visit in the hospital’s information system. They are then guided to the waiting area, where more than 30 screens display real-time call information. When it is time for their appointment, clear on-screen directions show where to go.
Outside the consulting rooms, additional screens notify patients when they may enter. With over 150 rooms equipped with these displays, the process remains clear and consistent throughout the hospital. Once a staff member initiates the call in the system, the patient is invited in and the door opens automatically, creating a seamless flow from waiting area to consultation.
